A method to make a list for Inventorying the (example) Elsie Quirk Adult and YA Interfiled DVDs
1. In Millenium, click on Create Lists.
2. Find an empty, or a list you made that is ok to overwrite that is big enough to contain the # of records that will be found.
3. Give a name to the Empty, use Store Record type: Item and use the default "Range" values (If you choose Bibliographic here- when you try to print it will print all the barcodes from all the branches with this item)
4. Used Type= Item, Field=Location, Condition= equal to, and Value A= eqdvd
5. In this example: also included the EQ YA DVDs by appending a line and making the selections:
(Boolean)Operator= OR, Type=item, Field=location, Condition=equal to, and Value A=EYDVD
6. then click Search records- it will say in progress till it finishes.
Next to print the list
1. First Sort the list by clicking on Sort and choosing by Bibliographic field Call Number.
2. Then Click "List" (=Print) and use the Bib. field call number
Bib. field Title
and Item field Barcode
also instruct it to put a line between each record-
then decide whether you want the records numbered (that choice is on the menu)
and which records to print for example- 1-500 rather than the whole list today...
and do 501-1000 after you finish 1-500...
7. Next is to Sort the results by highlighting the list and click on "Sort records" I chose Type= Bibliographic & Field= call Number; then click Sort/Save.
8. Next is to format the resulting search for printing by highlighting the Results list while in Create list, and clicking on "List results"- use the menu to format what and how it will be printed.
B. Shorter Inventory method
Search parameters in Millenium, Item type search
Search Line 1. Item Location equal to (example) edvd
Search Line 2. AND Item Last checkin less than or equal to 12 12 2007 (assumption- that if a book was checked in after (example: 12 12 2007)(6 months ago)- then consider it still in possession by the library.) (and when was out last inventory?)
Search Line 3. AND Item Status equal to On shelf
(this eliminates all items that are currently checked out- which includes items checked out as long ago as 2002)
This list will be approximately 1/25th the length of the full inventory list, but performs the same function- checking for items that say they are on the shelf, but in this case have not been checked in since before 12-12-07, and are not currently checked out.
being 1/25 the length- the time savings is 96%. This procedure can much more easily be done once per year...
P.S. Limitations: you can only do 3 search lines in Millenium- if you add a 4th line, the search will not work.
