AV Committee Minutes March 26, 2009

Agenda: 

1. Update on multiple DVD circulation - Jennifer

The Management Team approved a 3 week loan period for DVD sets over 5 DVDs.  After the leased book changeover is completed a target date for this can be established. 

2. Duplication of missing Audio Book CDs - Robert

The question was raised as to how different libraries handles burning copies ofr Audio Books on CD that are lost or stolen.  Most libraries do burn copies that can be borrowed within the SCLS.  A few libraries request ILL copies to burn copies.  Ven and FPL do not currently burn copies. 

Alexce has a graveyard of usable DVDs from sets with parts missing available to all.   

3. Weeding of Audio Books on tape - everyone

All libraries represented are still working on weeding audio books on cassette.

If there are any music cassettes in the system please delete these items. 

4. Discussion on DVD, music CD and Books on CD repair - Robert / everyone

All libraries represented own a polisher/cleaner for CDs and DVDs and are polishing items as needed.   

5. AV Committee: Wiki/ SharePoint site- review/discuss who does what when. Victor/Everyone

The committee agreed that the notetaker for the meeting would be responsible for posting the notes to the Wiki and SharePoint.   Victor has constructed a list of all the duties he ever so quietly accomplished on our behalf and these are listed under NoteTaker's guidleines. Gulf Gate is next up in the notetakers schedule. 

6. Laurie Bates will discuss downloadable audiobooks: NetLibrary and Overdrive--Maryann

The plans for purchasing downloadable audio books is still in play.  Due to fiscal procedural limitations Overdrive will most likely be the first system to become available.  NetLibrary will take longer.  Overdrive will be accessible to patrons from their own computers.  The current target date is the end of May or beginning of June 2009.  Overdrive has a bus that comes onsite to help promote the service and this is being investigated as a possible promotional tool.  Overdrive has other preprinted publicity that will be available. Holds in Overdrive will not count against holds in Millennium.  Laurie will check and see if there will be access to movies, music and downloadable video. 

7.  Featured  Lists

We are all encouraged to try the Featured Lists. SUNCAT’s Featured Lists option allows us to offer lists of titles in an easily searchable format.  It is fun and easy to do.  If anyone has any questions about how to run lists or participate, please ask Laurie or Melisse.

  • Maryann showed examples of bootleg donations -- Thirty Something DVDs -- looked authentic until one looks closely at discs/cover.  Look for company names, ISBNs.

Downloadable Audiobooks

Need timeframe for rollout?  Could it be with National Library Week?

Can books be downloaded using library public access computers?  Will software/drivers be on these computers? 

 

Weeding

  • Community Archive **Can not delete VHS tapes even if a replacement DVD is issued**
  • Do not weed any DVDs/VHS with "Sarasota Film Society" labels

 

AV Maintenance

  • Delete Cassettes -- damaged case, abridged (and system has an unabridged copy); half the cassettes have been replaced
  • Libraries should not forward media to another library when there is a note on it that the disc cannot be read. 
  • Replacement of discs -- check to see if ordered from Midwest and still under warranty; check to see if another library has another copy that can be copied.  If not in system, do ILL and burn a copy.

Tracking/Inventory for DVDs --  with float collection what is the procedure for replacing lost/missing items?  The owning agency may not be aware if items are lost or stolen. 

 

 

Wiki/Sharepoint Access

Everyone should check to make sure that we can all access the wiki and sharepoint.

  • Discussion of Blu-ray discs. 
  • What to do about hold and circulation problems.

Re: Continuing to Float:

 

Hi All - We discussed the issue of continuing the "float" with the music CDs and concluded that we might as well continue to move forward.  The problem with the different packaging is not great and is likely to not present major issues.  Each facility can decide where and how to shelve items that come in different packaging.  There are a variety of options in housing items that have different cases.    The same conclusion was made with the MP3 and Playaways - to float.  Could you let me know if you have any problems with this by the end of Friday?  Thanks,

April 24.2008  AV Com Minutes:

1.)Inventory/Weeding using laptop and barcode reader
-         Victor reported one can use a laptop with WiFi, a barcode reader ($260- available through Hardware Request- see http://enet.scgov.net/Pages/Default.aspx, and click on Job tools, then click on Hardware Request.) and VPN- this would be especially valuable for weeding. Robert commented that if the Inventory list(s) can be exported to an excel spreadsheet, then using the laptop and scanner for inventory would probably be more efficient than hand-checking printed lists- but how to do that is a question mark.
-         VPN can to be requested through IT and is already paid for by the county
-         Exact library ownership of needed equipment is unknown-
-         Robin offered that Melisse has all the logistics worked out for doing inventory by printed list and will share info when she returns from conference.
-         Contemplating the details, Cindy suggested we may want to save the Hi-Tech procedure for future use and commence inventory right away.

2.)Donations
      -     TS has been receiving items with no cataloging information whatsoever. Please do not send items to add that have no                            information
       -AV items need to have same ‘look up’ information as texts. (Title, ISBN etc)
 
Donated items of no use-
-         Anything from Alpha Video Distributors is poor quality.    Bad….Hiss….el Cheapo!
-         The AV items are often bought at major discount stores for under $5.
 
3.)CD Piracy
-         There is evidence of donated items that have been illegally copied
-         Inspect the label closely in regards to the print and if the label peels from the disc.         
**   When available, it is acceptable to duplicate compact discs in order to maintain a series or a collection.  i.e. an audio book or audio collection
 
4.)Playaways
-         The 13+ items are currently being processed and should be sent out soon
-         The earphone and battery will initially be included but when they are gone, they are gone.
-         The note field in the bib record reflecting inclusion of these materials has been deleted.
 
5.)Overdrive
-         should be up and running in October
-         a test “drive” can be done through MCC, or if one has a Charlotte County Library Card, or Manatee, or Hillsborough Library card.
 
6.)Universal Locking
-         How are we going to standardize our locking of AV in order to go forward with the floating collection??

0. Cindy informed the committee that with the Go-ahead on Floating collections, each library should Inventory their AV collections: DVDs, Audiobooks (CD and cassette) and Music CDs, Electronic CDs. The committee agreed that VHS does not need to be inventoried.

Some comments were made about how some movies, documentaries, still only come in VHS, and that some VHS are still being sent to LS for cataloging. The committee assumes that each librarian knows that as a general rule SCPL is not adding VHS items to the collection (donated VHS tapes go directly to FOL).

 

1. Games in the Library  (Committee members will investigate and report findings of how other libraries are dealing with Games:

 

   A. Acquisition of Playstations (PlayStation, Xbox, Wii, etc.)

 

   B. Acquisition and lending of Games: DVD/CD

 

Report by Victor on Palm Beach County Library Gaming from converse with the PBC County Youth Services Dept. Head: 

2/11/08

PBC YS librarians circulate  4 PS3s among themselves for programs.

The PBC SWC (Southwest Regional) Library received a donation enabling them to have a multiple TVs (5) and PS2s and PS3s and to having gaming nights every Tuesday. But they do not share their game stations and with other branches.

There are no circulating game cartridges/DVDs. 

DDR and Guitar hero were mentioned as what is played and it was said, they want to acquire Wii stations, but they are not currently available.

Also played on game night/ gaming times at the PBC branches: Madden 08, SuperNova, and Grand Turismo.

 

 

Report on Broward County Library Gaming from converse with Gina Moon, Teen Services Coordinator, Broward County Public Library:

The Dania Branch has a pilot program in which they are circulating 200 game cartridges (approx. cost 200x $40-$60=$8,000-12,000). They are so popular, no holds are allowed on them. The next NEW branch will also have a circulating game collection

Each branch has a Playstation purchased by funds from the FOL.

The YS librarians have games they circulate amongst themselves for game events.

BPL hosted a Gaming tournament.

 

Charlotte County PL (Englewood) told Victor that they have no money for games, or Playstations and have no gaming events.

 

Maryann suggested investigating leasing of games rather than purchase. Robert said he is seeing games in OCLC records.

 

 

   C. Get Input of SCPL YA/Youth Librarians on the above topics.    

 1/25/08  EQ- Deirdre Morrow reports:   Selby has a PS2 (Playstation 2) and a Wii which were circulated in the summer to all the libraries for day programs featuring: the games: Guitar Hero, and DDR (Dance, Dance, Revolution). Financed by Verb (Organization supporting physical activities for kids), Selby acquired 4 Videogames (not cataloged, and held and circulated by Selby Youth Librarians to the staff conducting game programs) and in  the worrks the acquisition of more games for copies for South and North- to ease the burden of transportation. (Financing- unknown by DM)

 

2. High Def DVDs- HD-DVD/BluRay:

To Investigate by the committee members:

      A. What libraries are or are not acquiring HD DVDs, and if they are: the amounts being invested in HD Discs?

    After discussion it was decided that the AV Committee members will investigate and report findings of how other libraries are dealing with Games: Robert will investigate Orange County, Hillsborough, and Miami Dade. Victor will investigate Palm Beach County, Broward, and Charlotte. All interested parties are invited to investigate and report on:

 

   A. Acquisition of Play stations by Public Libraries (Playstation, Xbox, Wii, PCs, etc.)

                1. What activities they are offering (Game nights/days, tournaments, how often?; problems and issues?

                2. Are the machines available on a daily basis, did they make a special space?

                3. Other aspects?

2. New issue – High Def DVD – All –

 

Robert Vaura explained that there is a format war between Microsoft's HDVD and Sony's BluRay. The non-High Definition DVDs use an orange? laser to read the discs. HDVD uses a green? laser and BluRay uses a blue laser.  BluRay is currently winning this format war, which may take a year to play out.

There have been requests by patrons for HD DVDS.

Victor asked if anyone knew how many patrons own an HD TV. (This could be approximated with a quick poll of library patrons one talks to on a daily basis, VL)

Marcy stated that the costs of HD cable is 5$ more per month.

Robert explained that 1080 DPI means 1000 lines per inch and that a normal TV image is 420 lines per inch. and what a DVD (non High Definition) player will play on a HD TV is 720 lines per inch.

So, an High-Definition(HD) DVD player is required by an HD TV to display the 1000 lines per inch. Currently, HDVD players cost about $179-200+, and BluRay HD-DVD players are retailing for about $350+.

Note: HD discs will not play on a (Non-HD) DVD player.

 

To Investigate by the committee members:

      A. What libraries are or are not acquiring HD DVDs, and if they are: the amounts being invested in HD Discs?

      B. Keep tabs on the developments in the format war.

3. Discussion of the Overdrive presentation: [AV committee members were invited to attend for Observation Only]

           A. AV Team members asked Cindy Guest to ask Admin to invite Netlibrary to give a demonstration of their product (Downloadable Audiobooks)

 

           B. Observation Notes on the Overdrive presentation (plus comments):

 

                1. It was not remembered?: if it was possible to lease titles from Overdrive: If there is a popular title and one gets a second  downloadable "copy", when the item fades from the bestseller/very popular list, can one remove the second copy? ('sell' it back to Overdrive?)

                     A. Implied answer by the salesman: "When you buy a copy from Overdrive, you own it forever."

 

                2. Cindy commented that any money spent in the downloadable audiobooks would be coming out of the current and flat budget.

                     A. Cost of Overdrive as remembered by AV team members present at the presentation:

                         $21,000 initialization payment + 1.600/month which includes $7,500 worth of downloadable titles (=300 titles)

                         After 4 years, monthly fee = 12k/year (1,000/month) / divided by 8 libraries = 125$/month x12= $1,500/year per SCPL Library

                              (1.) Average cost of auidiobook titles from Overdrive: 28$

                                     a. Avg. cost of ebooks: 11$

                                     b. Avg. cost of Music: 7-11$

                                     c. Avg. cost of Videodownloads from Overdrive: $25

                      B. Summary of Overdrive presentation as remembered by Victor Lorand:

 

                          0. Go to http://www.overdrive.com 

                              a. Netlibrary and Overdrive use Windows Media Player (version 9 or above) to play their audiobooks

                                       (1.) The library sets the amount of time the download remains in the check-out cart.

                                      ( 2. )Overdrive publishers require that Items downloaded remain checked- out for 1 week- to prevent patrons from burning to CD more than 10 titles per day. Therefore audiodownloads can't be "turned in early".

                                      (3.) Netlibrary will have the contract with Netlibrary until the year 2010.

 

                                      (4.) Once downloaded, the patron can play the audiobook on their computer, burn it to CD, or transfer to MP3 player.

                                            (a.) Once burned or transferred the copy will continue to play after the check-out period.

                              b.  Overdrive has the user download a Console software that overlies Windows Media Player to make downloading easier.

                                   1. One can download the audiobook in parts.

                                   2. The console software will remind the patron that they have checked-out books that can be deleted from their computer's memory (after their check-out period is over) and will offer them to delete those items (click on a button)

 

                              C. # of Titles, implementation, Marketing, Tech support

                                   1. Currently 15,000 Audio titles available from Overdrive (Netlibrary has 1,600?)

                                   2. (Implementation time) Time after purchase till Overdrive product will be available: 8-10 weeks

                                   3. Overdrive supplies 500$ in printed marketing materials and help with Art Work on the materials

                                   4. Overdrive appears to have excellent tech support.

 

                              d. Question: Windows Media Player is on PCs, Macs use Quicktime- how does one use the downloadable Audiobook on a Macintosh- (who has a Macintosh to try downloading an auidiobook with?)?

 

                              e. Technology: MP3 players: Ipods don't play downloadable audiobooks- Macintosh is not allowing the addition of a software to Ipods

                                   that would allow downloaded audiobooks to play.

                                   Therefore on downloadable audiobook sites, one sees lists of compatible auidiobook players such as Creative Zen.

                                   To transfer an audiobook to an Ipod - it can be done but requires an extra step- transferring item first to a "virtual drive"and then...in other words - 

                                    it required tech-saviness.

                              g. Victor's experience with Netlibrary using his Charlotte County Library card:

                                   1. 1st I updated my library card, then I had to make a free Netlibrary account, then I had to upgrade the security on my computer that includes a Windows Media Player upgrade. then I downloaded, a Netlibrary Audiobook- it asks you for your Netlibrary account name and password and then the DRM (Digital Rights management software) kicks in and acquires the permit to use/play. On my home computer it didn't work, and the Charlotte Library system online database coordinator, Pauline Klein, sent me a netlibrary downloadable audiobook troubleshooting sheet. Meanwhile, I successfully downloaded a playable audiobook on an EQ Reference Library staff computer and will next try transferring it to a Creative Zen MP3 player.

                                2.  Pauline reported that Charlotte County is dropping Netlibrary in March and adopting Overdrive. One reason given was better pricing.

1. Alexce briefed the committee on the decisions of the previous meeting and the committee went over the draft document of Recommendations on how to label Media (DVDs, CDs, CD/MP3s...): what labels to have and not have.

 

Alexce will email the redrafted report to the AV committee members and Julia Haggar will accompany Alexce for the Jan. 4th presentation of recommendations re: media labeling to the Management Team.

 

Among the recommendations was the idea of spine-labeling Audiobooks on CD= "CD" and Young adult items = "YA", thus also enabling the label "CD/MP3".

A concern was noted for Gulf Gate with Multi DVD items being kept behind the desk- a Compromise was proposed in the making of a bookmark/ Dummy display tab(see attachment below of Dummy Box Display tab Draft) in place of a label that could be inserted in the plastic sheathing of the Cd or DVD.

 

Another concern noted was for labeling of music CD collections, that large letter labels have been helping Volunteers at JAC shelve items (but not fine shelve) and older patrons to quickly get to the right letter area quickly. It was suggested that the Spine label can have highlighting to perform the same function using the performer's name and a large letter could be permitted on the Spine label (if it fits).

It was also suggested that Gaylord supplies Barnes and Noble-like shelving aids- names of performers on plastic shelf space markers.

 

A concern at North was voiced that since all DVDs are kept in a cabinet and only dummy cases are on the shelves (preventing theft of DVDs) the system of numbering the Dummy cases and the DVds would be disrupted. A compromise was reached- the suggestion that the dummy case # be written on the inside of the case.

 

The general idea emphasized was to keep labeling uniform accross the system, and to accomodate the probable future existence of floating collections as well as adress the patron concern of excess labeling obscuring valuable information on the small AV media containters.

Question: which collections/items will not float?

 

All recommendations if adopted will not involve retrospective relabeling- they will only apply to new items.

Pat gave the committee a report with a 16 page accompanying prints of web pages, catalog records and email responses.  Discussion ensued while Pat gave her report.

 

Elmhurst public library emailed Pat their itypes. Alexce and Maryann explained that creating a new itype has a labor cost/difficulty factor for Melisse, but that without the itype, circulation figures can only be monitored by checking the stats of individual titles.

 

Milwaukee Public library, a Triple I library, has the following material types in a dropdown menu in their OPAC:

Audiobooks/CD

Audiobooks/Cas

Audiobooks/MP3

Audiobooks/Over (Downloadable books from the Overdrive company)

Audiobooks/Port   (Audio downloads to a port in the Library?)

 

They also had an Audiobooks search page in which one click (clicks on a circle) to choose between: All audiobooks, Audiobooks on CD, Audiobooks on Cassette, MP3 Audiobooks and Overdrive Audiobooks.

 

It was noted that it is important that MP3 be in a searchable field in the catalog record. Milwaukee has “MP3” in the note field as well as the subject field, but their OPAC did not offer a Marc record printout to determine which fields they use.

Elmhurst Public uses Marc fields 599 for “Compact disc”

Lion Public school in Denver uses the 500 field for, ““An audiobook in MP3 format. Requires a player that plays MP3” –Container cover.”

They also used the 538 field to announce the MP3 format and player requirements.

650 (Subject), and 655 fields were mentioned as fields found with existing marc records of mp3 items.

(To research: what specific marc fields to make the term MP3 searchable in a Triple I catalog and to note that a special player is needed.)

The general conclusion is that there are proper marc fields that will make MP3 items searchable in the catalog, and a marc field can also record the warning that a special player is needed.

 

Elmhurst Public library uses the following itypes:

26-Adult mp3

27-Adult spoken word mp3

126- Juvenile mp3

127-Juvenile spoken word mp3

 

Elmhurst also belongs to a consortium that uses a range of ICISTATs representing the mp3s with an additional distinction between fiction and nonfiction.

 

It was decided that it is not necessary at this time to have Itypes for the currently existing Cd/Mp3s in the library, and that this need will be revisited in May 2008.

 

Alexce and Maryann pointed out that these must be multiplied by 8 for the library locations information in SCPL.

Alexce noted the advantage of MP3 recordings in that they are all on one disc, while, multi-disc CD sets cost more and are effectively destroyed by the loss of a single disc.

A committee member pointed out that Overdrive downloads are probably what Charlotte county library uses, but that they do not play on Ipods- one must therefore buy a special MP3 player- unless one happens to own a new Toyota Tundra, Lexus, or Cadillac. Cost of the MP3 players and what brands of players was not put on the research agenda at this time.

 

Alexce invited the committee to attend as observers the Jan 2,or 3rd Overdrive sales presentation to the SCPL library.

 

Alexce will type up the notes of the Recommendations about how to handle MP3 formats in SCPL and email the notes to the AV committee members and Julia Haggar will accompany Alexce to the Jan. 4th presentation of these recommendations to the Management Team. Victor or another AV member will post/attach the recommendations to the Wiki in the Reports and Recommendations section of this Wiki.

Paula Ivory gave her report on how Playaways are handled in other libraries and discussion ensued (Victor silently concurred). Maryann obtained a copy of a catalog record with a marc record of a Playaway in Orange County (http://iii.ocls.info/search) (search for the Book of pirates) and Alexce provided a Demco catalog page advertising a clear case for repackaging a circulating Playaway if deemed needed (at $6.99 per case- non-bulk price).

 

Maryann stated that there are 14 Playaways that Victor ordered for EQ and are awaiting cataloging.

Pat Mauer expressed interest in purchasing Playaways for Youth at Venice. Alexce advised to hold off until the Management Team has made its decisions regarding Playaways.

 

Paula reported that other libraries recommend not supplying headphones and batteries. Victor added the suggestion that the cases not be locking.

Maryann expressed a concern about the labeling of the Playaways as they are in VHS box containers. Maryann got a Playaway to look ( " A Girl named Zippy") at and it is distinctively labeled Playaway on the container and the committee decided the Playaways purchased do not need further identification/ relabeling other than the Spine label to say “Playaway”.

Victor suggested that the Playaways be given their own section - in terms of shelving. (Will each library decide where to put the Playaways?)

 

It was decided while waiting to see what happens in the Audiofile format ‘wars’, to revisit the need for a Playaway Itype in May 2008. with only 14 titles, circulation can be studied on a by title basis. The question was raised: how many items does the library need to have before an Itype is created?

Guestimate: when it is determined/felt that a format is here to stay and is not a "flash in the pan." and therefore not a waste of labor to create an itype.

 

The Playaways, themselves being quite small, will need a small barcode or handwritten barcodes on them. The normal barcodes are recommended to be on the cases. Worry about theft was considered, but then it was reasoned that it is nor more difficult to steal a CD or DVD.

 

Alexce will type-up the recommendations concerning the Playaways for presentation to the Management Team on Jan. 4th with Julia Haggar.

6. The movie, "Mad Cowgirl "arrived at T.S., Maryann loaned the movie to Victor to view it to begin deciding whether to add it to the collection.

 

7. Victor informed the AV committee of the link he made on the Side/navigation bar of the AV committee Wiki for the purpose of posting reviews of Challenged Library Media items as suggested by Sarabeth.

AV SECTION MEETING NOTES

OCT. 25, 2007 

 

Present: Maryann Dahlen, Julia Haggar, Pat Maurer, Robert Vaura, Tyra Keating, Victor Lorand, Alexce Douville, Kathy Hickey (substituting for Marcey Caldwell), Sarabeth Kalajian 

 

Media Labeling:

 

The Team focused on addressing the most pressing issue, which was that of patron complaints about the number and placement of informational labels on media materials. The goal was to reduce the amount of labels added to material after receipt at the individual agencies, and to agree upon a system-wide consistency. Samples of how media is processed by TS were distributed as a starting point. A list of additional informational labels added by the individual agencies was created, and each was discussed.   The Team developed recommendations to be sent to the Management Team for review at a future meeting.

 

Action Item: Alexce will type up the recommendations in a draft report to distribute to all Team members for review, by Friday, Nov. 2ndTeam members are to review and send their comments back to Alexce by Nov. 9th

 

Action Item: Alexce will contact Rhonda to get the report on the Management Team agenda for November 30th.    Team members are to scan or email samples of “labels gone bad” for inclusion in the report and send them to Alexce by Nov. 13th

 

Other Actions

 

Meetings:

  • The Team decided to meet on the 4th Thursday of every month from 2 – 4 at Twin Lakes Park until all outstanding issues have been resolved. The Team will then reassess how often it needs to meet. 
  • Responsibility of agendas and minutes will be by Team members on a rotating basis, alphabetical by the library name
  • Team members should send agenda items and approx. how long the item should take in discussion to the responsible Team member by the Monday before the next scheduled meeting.  
 
WiKi: The Team discussed the creation of a Wiki and agreed it would be beneficial to post the minutes and agendas in this manner.
 
Action Item: Victor will create a Wiki for the AV Section Team and will send the link to the Team Members. All Team Members are responsible for keeping the Wiki up-to-date
